WHAT YOU'LL BE DOING

Executive Support

  • Provide daily support to the Executive Leadership Team, including travel arrangements, meeting coordination, and ongoing administrative needs.

Recruitment Coordination

  • Assist with recruiting by scheduling interviews, conducting phone screenings, and managing the candidate pipeline.
  • Serve as the main point of contact for recruiters and manage job postings.

HR Assistance

  • Manage onboarding and orientation for new hires.
  • Oversee the annual and mid-year review process.
  • Support personnel management and business processes using internal tools.

Front Desk Management

  • Welcome clients and visitors with professionalism and ensure smooth delivery of mail and packages.

Office Administration

  • Maintain the appearance and functionality of the office, coordinate with building management, and ensure the kitchen and conference rooms are ready for use.

Event Planning

  • Organize internal events like happy hours, holiday parties, and other team gatherings.

Vendor & Production Coordination

  • Manage vendor relationships, process purchase orders, and coordinate asset delivery.

WHAT WE'RE LOOKING FOR:

  • Experience: Minimum of 5 years in an executive support role.
  • Multitasking Skills: Ability to manage multiple priorities and adapt quickly to changing needs.
  • Detail-Oriented: Strong organizational and time-management skills.
  • Tech Proficiency: Proficiency in Microsoft Office (Word, Excel, PowerPoint) and the ability to learn new tools efficiently.
  • Professional Discretion: Maintain confidentiality with sensitive information.
  • Strong Communicator: A collaborative mindset with excellent interpersonal skills.
  • Agency Experience: Preferred but not required.
  • Problem Solver: A resourceful and analytical thinker with a proactive approach.
