WHAT YOU'LL BE DOING
Executive Support
- Provide daily support to the Executive Leadership Team, including travel arrangements, meeting coordination, and ongoing administrative needs.
Recruitment Coordination
- Assist with recruiting by scheduling interviews, conducting phone screenings, and managing the candidate pipeline.
- Serve as the main point of contact for recruiters and manage job postings.
HR Assistance
- Manage onboarding and orientation for new hires.
- Oversee the annual and mid-year review process.
- Support personnel management and business processes using internal tools.
Front Desk Management
- Welcome clients and visitors with professionalism and ensure smooth delivery of mail and packages.
Office Administration
- Maintain the appearance and functionality of the office, coordinate with building management, and ensure the kitchen and conference rooms are ready for use.
Event Planning
- Organize internal events like happy hours, holiday parties, and other team gatherings.
Vendor & Production Coordination
- Manage vendor relationships, process purchase orders, and coordinate asset delivery.
WHAT WE'RE LOOKING FOR:
- Experience: Minimum of 5 years in an executive support role.
- Multitasking Skills: Ability to manage multiple priorities and adapt quickly to changing needs.
- Detail-Oriented: Strong organizational and time-management skills.
- Tech Proficiency: Proficiency in Microsoft Office (Word, Excel, PowerPoint) and the ability to learn new tools efficiently.
- Professional Discretion: Maintain confidentiality with sensitive information.
- Strong Communicator: A collaborative mindset with excellent interpersonal skills.
- Agency Experience: Preferred but not required.
- Problem Solver: A resourceful and analytical thinker with a proactive approach.
